This role reports directly to the Account Leader and works in close collaboration with the Lead Storyteller/Creative Director. There are no direct reports – your output is your own, and that standard is high.

About The Role

The Project Coordinator owns the operational backbone of their storytelling pod. You set the schedules. You manage the logistics. You keep CHQ accurate, current, and actionable. You are the person the Account Leader and Lead Storyteller/Creative Director can hand the details to with complete confidence – knowing they’ll be handled with precision, care, and follow-through.

This role reports directly to the Account Leader and works in close collaboration with the Lead Storyteller/Creative Director. There are no direct reports – your output is your own, and that standard is high.

RESPONSIBILITIES

Project & Schedule Management

  • Own all project timelines across the pod’s active client accounts – building schedules that are realistic, clear, and achievable
  • Set and manage internal deadlines, production milestones, and client delivery windows
  • Maintain CHQ as the single source of truth: every project, every task, every status updated with accuracy and consistency
  • Ensure nothing falls through the cracks – across pre-production, production, post-production, and delivery
  • Flag timeline risks or schedule conflicts early and bring solutions, not just problems

 

Logistics & Travel Coordination

  • Book and manage all shoot-related travel: flights, hotels, ground transportation, and on-location logistics
  • Coordinate gear transport, equipment needs, and vendor scheduling
  • Build detailed shoot day schedules and distribute call sheets to all relevant team members and clients
  • Anticipate logistical needs before they become day-of problems

 

Client-Facing Execution Clarity

  • Serve as a clear, warm, and reliable point of contact for scheduling and logistics questions
  • Communicate timelines, next steps, and project statuses to clients in a way that builds confidence and removes uncertainty
  • Ensure clients always know what’s coming, what’s needed from them, and when to expect delivery
  • Coordinate client approvals, feedback windows, and revision schedules with consistency and precision

 

Internal Team Coordination

  • Collaborate closely with the Lead Storyteller/Creative Director to align creative timelines with production realities
  • Keep the Account Leader informed on project statuses, upcoming deadlines, and any risks that need their attention
  • Distribute accurate project information to all pod members – making sure everyone has what they need, when they need it
  • Maintain organized records, files, and documentation that any team member can pick up and understand at a glance

Operational Precision

  • 2-4+ years in project coordination, production management, operations, or a similar detail-driven role
  • Proven ability to manage multiple projects simultaneously without losing accuracy or composure
  • Exceptional attention to detail – not just catching errors, but building systems that prevent them
  • Experienced with project management platforms; CHQ experience is a plus

 

Organization & Follow-Through

  • Strong personal organization – you have a system, and it works
  • High conformity and follow-through – you don’t just start things, you finish them, completely
  • Comfortable building and maintaining schedules, trackers, and logistics workflows from scratch
  • Able to hold the details across 15-20 active client accounts without dropping the thread

 

Communication & People Skills

  • Clear, warm, and professional communicator – internally and with clients
  • Able to deliver accurate information in a way that makes people feel cared for, not just informed
  • Comfortable working across all levels of an organization – from creative teams to clients to leadership
  • Collaborative by nature – you bring precision to relationships, not just tasks

 

Logistics & Coordination Experience

  • Comfortable booking and managing travel, accommodations, and on-location logistics
  • Experienced coordinating across multiple stakeholders with competing schedules and needs
  • Calm and methodical when plans change – you adjust the schedule and keep everyone aligned

 

Environmental Requirements

  • Must be based in Dallas–Fort Worth
  • Comfortable with a hybrid schedule: remote work + in-person client meetings, or office days
  • Salary – Exempt: 40–50 hours/week minimum depending on production rhythms
